Privacy Policy

1. Who we are
This Privacy Policy explains how Ethos Visuals, operated by Mason Mantha (sole proprietor) of Kingston, Ontario, Canada ("we", "us", "our"), collects, uses, and protects personal information. It applies to our website at ethosvisuals.ca and to the services we provide to our clients. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL).

2. The information we collect
When you visit our website or fill out a form
- Contact details you give us — your name, phone number, email, business details, and anything you upload or share through our forms.
- Usage and device data collected automatically — IP address, browser type, pages viewed, and similar analytics, including through Google Analytics as described in Section 4.
When you become a client
- Business information needed to build and run your project — business name, address, owner contact details, service details, branding assets, and account access you choose to share.
- Billing information — processed securely by our payment provider, Stripe. We do not store your full card number.
Data we process on your behalf (client customers)
- If you're our client, our systems may handle the leads and contacts that come through your website and phone number (their names, phone numbers, messages). This information belongs to you; we process it only to run your service. See Section 7.
3. How we use your information
- To respond to your inquiry — including emailing or texting you back after you submit a form or book a call (this is why we ask for your contact details).
- To provide, operate, and improve our services for clients.
- To send service-related messages (onboarding, reports, account notices).
- To send marketing messages only where permitted — you can opt out at any time (see Section 8).
- To meet legal, tax, and accounting obligations.
We do not sell your personal information.
4. Cookies & analytics
Our website uses Google Analytics (GA4), which uses cookies and similar technology to help us understand how visitors find and use the site (for example, which pages are viewed and how people arrive). This involves sharing limited usage data with Google. You can control cookies through your browser settings and opt out of Google Analytics using Google's browser add-on (tools.google.com/dlpage/gaoptout). If we add advertising pixels in the future, we'll update this policy to say so.
5. Consent
By using our website and submitting a form, you consent to us collecting and using your information as described here — including contacting you about your inquiry. For marketing messages, we rely on your consent under CASL, which you can withdraw at any time.
6. Who we share information with (service providers)
We share information only with the third-party providers that power our service, and only as needed to run it:
- GoHighLevel — CRM, automations, booking, and messaging.
- Stripe — payment processing.
- Google — analytics, reviews, business profile, and related services.
- Vercel — website hosting and secure file storage for uploads.
Each is bound by its own privacy and security terms. We may also disclose information if required by law.
7. Data we handle for our clients
When we operate a client's website and lead system, we act as a service provider (processor) for the lead and customer data flowing through it. That data belongs to the client, who is responsible for how it's collected and used. We process it only to deliver the service, and we return or delete it when the client's subscription ends (see the Terms of Service for the data-retention schedule).
8. Your choices & rights
Under PIPEDA you have the right to:
- Access the personal information we hold about you.
- Correct it if it's inaccurate.
- Withdraw consent or unsubscribe from marketing at any time — reply STOP to a text, use an email unsubscribe link, or email us.
- Ask us to delete your information, subject to legal retention requirements.
To exercise any of these, email mason@ethosvisuals.ca and we'll respond within a reasonable time.
9. Data retention
We keep personal information only as long as needed for the purposes above or as required by law. Lead inquiries that don't become clients are kept for a reasonable follow-up period and then deleted. Client and customer data is handled per the retention schedule in our Terms of Service.
10. Storage & cross-border processing
Several of our providers (including GoHighLevel, Stripe, Google, and Vercel) are based in the United States, so your information may be stored or processed outside Canada. While outside Canada, it may be subject to the laws of that country, including lawful access by foreign authorities. We use reputable providers that maintain industry-standard safeguards.
11. Security
We take reasonable technical and organizational measures to protect personal information. No method of transmission or storage is perfectly secure, but we work to protect your data and rely on providers that do the same.
12. Third-party links
Our website may link to other sites we don't control. This policy doesn't cover their practices — please review their privacy policies.
13. Children
Our services are for businesses and are not directed to children under 13. We don't knowingly collect their information.
14. Changes to this policy
We may update this policy from time to time. Material changes will be posted here with a new "Last updated" date.
